The Complete Guide to Document Processing Automation Without Coding

Updated September 2026. This guide covers getting data out of documents. For naming, sorting and syncing the files themselves, see our guide to automating file organisation across cloud storage.

Document processing automation reads your invoices, receipts and forms and puts the numbers where they belong — without you retyping them. The tools are no-code, the setup is an afternoon, and the honest catch is that extraction is never perfect, so a human check stays in the loop. This guide shows what to automate, which tools to use, how to build it, and how to keep it accurate.

What can actually be automated

Document What the tool pulls out Where it goes
Supplier invoices Supplier, date, total, tax, invoice number Accounting software or a spreadsheet
Receipts Merchant, date, amount, category Expense records, with the image attached
Order confirmations Order number, items, totals Sales or inventory sheet
Signed contracts Parties, dates, renewal and notice terms A contract register with reminders
Web forms Every field the person filled in CRM, spreadsheet, task list

Forms are the easy case — the data is already structured, so it needs moving, not reading. Scanned paper is the hard case, because the tool has to recognise text from an image first.

The tools, and what each is for

Automation platforms with document steps

Zapier, Make and n8n connect your inbox, cloud storage and accounting software, and can run an extraction step in the middle. Best when the document is one part of a longer workflow.

Accounting software that already does capture

QuickBooks, Xero, Wave and similar tools include receipt and invoice capture — photograph it, or forward the email, and the entry appears for approval. If you already pay for one of these, start here: it is included, it understands your chart of accounts, and it is one system instead of two.

Dedicated document parsers

Tools built only for this job — Docparser, Parseur and the like — handle awkward layouts and high volumes, and produce cleaner results than a general automation step. Worth it when invoices arrive in many different formats.

What you already have

Google Drive can extract text from a scanned PDF by opening it as a document. Phone scanner apps do the same. For a handful of documents a month, that plus a spreadsheet is a complete solution.

Build it: invoices from inbox to spreadsheet

  1. Corral the documents first. Create a rule in your email so invoices get a label, or ask suppliers to send them to one address. Automation is far easier when the input is predictable.
  2. Connect the accounts — email, cloud storage, and the spreadsheet or accounting tool — in your automation platform.
  3. Trigger on the labelled email with an attachment.
  4. Save the file to a dated folder in cloud storage, so the original is always retrievable.
  5. Extract the fields with the platform’s document step or your parser: supplier, date, total, tax, invoice number.
  6. Write a row with those fields plus a link to the stored file.
  7. Add a review step — a status column, or a message to you — so nothing is treated as final before a person has glanced at it.

Keeping it accurate

  • Expect errors on scans. Photographs, faint print and unusual layouts are where extraction slips. Totals and dates are the fields worth checking every time.
  • Test with your ugliest document, not your cleanest one.
  • Flag rather than guess. Configure the workflow to mark anything with a missing field for human attention instead of writing a blank.
  • Keep the original. Extraction is a convenience; the source document is the record, and tax authorities want that one.
  • Re-test after supplier changes. A redesigned invoice template will break the extraction quietly.

Before you send documents through a third party

  • Know where the file goes. Extraction usually happens on the provider’s servers, not your computer.
  • Check retention and training terms — how long they keep documents, and whether content is used to improve their models.
  • Mind the contents. Invoices carry bank details; contracts and forms carry personal data, which brings data-protection duties with them.
  • Restrict access to the folder and sheet the automation writes into.

When not to automate

  • The documents arrive rarely, or in a different shape every time.
  • The consequence of a wrong number is serious and nobody will review the output.
  • The process is about to change anyway — automate the new process, not the old one.
  • A person is doing it because they are also making a judgement, not just typing.

Is it worth it?

Work it out on your own numbers rather than an industry average: time how long one document takes you end to end, count how many arrive in a month, and compare the total against the subscription plus the hours to build it. Volume decides this. A steady flow of invoices repays the setup quickly; a handful a month does not.

Frequently asked questions

Do I need special software to read PDFs?

Not usually. If the PDF was generated by a computer, the text is already inside it and most automation platforms can read it. Scanned paper needs text recognition, which the dedicated parsers and your accounting app’s capture feature handle better.

How accurate is automatic extraction?

Good on clean, consistent documents; noticeably worse on photographs, handwriting and unusual layouts. Treat it as a first pass that a person confirms, and check totals and dates in particular.

Can this replace a bookkeeper?

No. It replaces the typing. Someone still has to categorise oddities, chase missing paperwork and answer for the numbers.

What is the quickest thing to automate first?

Form submissions — the data is already structured, there is nothing to recognise, and the workflow is usually two steps.
