Raspberry Pi, homelab, Linux and automation — projects and practical guides

Updated September 2026. This guide replaces an older post comparing no-code platforms for business automation. Plans and limits change constantly — check each platform’s pricing page before you commit.

No-code workflow automation connects the apps you already use, so the work that moves information between them happens without you. An order arrives and the accounting entry, the confirmation email and the stock update all follow on their own. This guide explains what these platforms actually do, compares the main ones honestly, and walks through choosing and building your first automation.

What no-code automation actually does

Every automation has the same shape:

  • A trigger — something happens: a form is submitted, an order is paid, an email with a particular label arrives.
  • One or more actions — the platform does the next thing: create a row, send a message, update a record.

Nothing is invented. The platform is doing, reliably and instantly, the steps you would otherwise do by hand. That is also its limit: automation makes a good process faster and a bad process faster at being bad. Fix the process first.

The platforms compared

Platform What it is Best for Learning curve
Zapier Connector between apps Mainstream tools — Gmail, Sheets, Slack, Shopify — and the widest app library Easiest
Make Visual scenario builder Branching logic, loops and data reshaping; more control per step Moderate
Airtable Database with automations built in Work that revolves around records — clients, stock, bookings Easy to moderate
Bubble Full app builder Building an actual product with accounts and screens, not just plumbing Steep
n8n Open-source automation you can self-host Technical users who want to keep data on their own server Steep
Power Automate Microsoft’s automation layer Businesses already inside Microsoft 365 Moderate

Free plans exist on most of these, with real limits — a monthly cap on runs, restrictions on how many steps an automation may have, or, in Bubble’s case, no ability to publish a live app at all. Free is for learning and testing; check what the paid step up costs before you build anything you depend on.

Don’t overlook the automation you already pay for

Airtable, HubSpot, Monday.com, Shopify, Notion and most modern tools now include their own automations. If both apps in your workflow live in the same product, use the built-in version: fewer moving parts, no extra subscription, and one less place for something to break silently.

The features that decide whether it works

Multi-step workflows

One trigger, several actions. Entry-level plans often allow only a trigger and a single action, which is enough to learn on and rarely enough for real work.

Conditional logic

Branches let one automation handle different cases — a large order routed for priority handling, a small one going the standard way. Without branching you end up maintaining several near-identical automations.

Error handling and alerts

Automations break. An app changes its login, a field is renamed, a service has an outage. The feature that matters is being told: an email or message when a run fails, and a history you can read. A silent automation that stopped working three weeks ago is worse than no automation.

Data mapping and formatting

Dates, currencies, names and phone numbers rarely arrive in the shape the next app wants. Good platforms reformat them for you; on cheaper tiers this is often the missing piece.

Webhooks

The escape hatch for anything without a ready-made connector. Usually a paid feature, and the point at which a non-technical user needs help.

How to choose

  1. List the apps the workflow touches, then check each platform’s directory for all of them. One missing connector decides the question.
  2. Count the steps your workflow needs, and compare that with what the plan allows.
  3. Estimate how often it runs. Pricing is based on runs, tasks or operations, so a workflow that fires hundreds of times a day belongs on a different plan from one that fires weekly.
  4. Decide who maintains it. If that is you and you are not technical, the easiest tool wins, even if a harder one is cheaper.
  5. Check where your data goes if you handle customer or health information. Self-hosting exists for exactly this reason.

Build your first automation

  1. Pick the most repetitive task you do — the one you could describe in a sentence and have done a hundred times.
  2. Write it out as trigger and actions before opening any tool.
  3. Build it with real data, and test with a record you can afford to get wrong.
  4. Have it create drafts at first — a draft invoice, an unsent email — until you trust it.
  5. Turn on failure alerts and note where the run history lives.
  6. Come back after a fortnight and check it actually ran, and that it saved what you expected.

Our Zapier beginner’s guide walks through a complete first automation step by step.

What it costs, and how to judge it

Ignore headline prices for a moment and work it out from your own numbers: time the task by hand, count how often it runs in a month, and multiply by what an hour of that person’s time costs. Compare that with the subscription plus the hours you will spend building and maintaining it. A task that runs every day usually repays the effort quickly; one that runs monthly rarely does.

Common mistakes

  • Automating a broken process. Tidy it up first, or you will simply make the mess arrive faster.
  • Starting with the most complicated workflow. Ship a small one, learn how the platform behaves, then build the big one.
  • No alerting. If nobody is told when a run fails, you find out from an angry customer.
  • Paying for two platforms that do the same job because nobody checked what the tools you own already include.
  • One person holding all the knowledge. Name your automations clearly and write down what each one does.

Frequently asked questions

Which no-code platform should a beginner start with?

Zapier, in most cases: the largest app directory and the gentlest learning curve. Move to Make when you need branching, loops or heavier data handling.

Is no-code automation reliable enough for real business work?

Yes, for the kind of work described here, provided you turn on failure alerts and check the run history occasionally. Treat anything touching money or legal deadlines with a review step rather than full automation.

Can I move my automations between platforms later?

Not directly — each platform has its own format, so switching means rebuilding. Keep your workflows documented in plain language so a rebuild is a translation job rather than an archaeology project.

Do I still need a developer?

For connecting standard apps, no. You will want one when you need a custom integration, when a workflow handles sensitive data, or when the automation becomes something your business genuinely cannot operate without.
